1. Information we collect
When you create an account we collect your name, email address and password (stored securely, never in plain text). If you complete your profile, you may also provide your account type, organisation name, phone number, country, city, website and a short bio. We also store the preferences you set — email and dashboard notification settings and deadline reminder preferences.
2. Information generated by using FundPilotPro
As you use the platform, we store the searches you choose to save, the opportunities you bookmark, and a record of your acceptance of these Terms of Use and this Privacy Policy (including the date and version accepted). Administrative actions on the platform are recorded in an audit log for security and accountability.
3. How we use your information
We use your information to operate your account, show you relevant funding opportunities, send the notifications and deadline reminders you have opted into, keep the platform secure, and improve FundPilotPro over time. We do not sell your personal information.
4. Email and notifications
We send account-related emails (such as email verification and password resets) and, if you have enabled them, deadline reminders and saved-search alerts. Every notification email includes a way to manage or unsubscribe from that type of communication.
5. Cookies
FundPilotPro uses essential cookies: one to keep you signed in, one to protect forms from cross-site attacks, and one to remember your chosen language. These are required for the platform to work and cannot be turned off. If you choose "Accept all" on the cookie banner shown on your first visit, we also set a cookie that recognises your return visits for the anonymous traffic statistics described in the "Analytics" section below; choosing "Essential only" keeps that switched off. You can change your choice at any time from the "Cookie settings" link in the footer. We do not use third-party advertising or tracking cookies.
6. Analytics
If you have chosen "Accept all", FundPilotPro records anonymous visit data: the pages you view, how long you spend on them, the page that referred you, your device type, and an approximate country worked out from your IP address using a local, offline list that is never sent to any outside service. We use this data only for our own internal statistics — to understand overall traffic and page popularity, and to inform our marketing decisions, such as which pages or channels bring visitors to FundPilotPro. We do not use it to build advertising profiles, to target you individually, or to track you across other websites, and we never sell or share it with advertisers or any other third party. Detailed visit records are kept for 90 days, after which they are replaced by anonymous, aggregated daily statistics that no longer identify any individual visit.
7. Security
Passwords are hashed and never stored in readable form. We apply reasonable technical measures — including rate limiting on sensitive actions and monitoring for errors — to help keep your data secure. No online service can guarantee absolute security.
8. Data retention
We retain your account information for as long as your account is active. You may request deletion of your account and associated personal data at any time by contacting us.
9. Grant Agents and client data
If you engage with a Grant Agent through our marketplace, or a Grant Agent contacts you to offer help preparing an application, limited information about you — your name, account type and organisation name — is visible to that agent before any application links you together; your email address and phone number are never shared with an agent this way. Once a Grant Agent has prepared a draft application for you, they can see the details of that specific application, including any documents you or they add to it. If you choose to rate a Grant Agent, your name and any comment you write are shown publicly on that agent's profile unless we remove it at our discretion (for example, if it breaches these policies) or you ask us to.
10. Your rights
You can access and update most of your information directly from your account settings at any time. You may also request a copy of your data, ask us to correct it, or ask us to delete your account by contacting us.
